Privacy policy
Last updated: 9 October 2026
1. Who we are
CLOUDED is an independent club night and music brand based in Manchester, United Kingdom. It is operated by Suriya Media, which also runs ZIVSOUNDZ, in partnership with DO NOT DISTURB. Where this policy says "we", "us" or "CLOUDED", it means Suriya Media trading as CLOUDED.
Suriya Media is the data controller for the personal information described in this policy. You can contact us about anything in it at hello@clouded.club, and we will give you a postal address on request.
2. What this policy covers
This policy explains what we do with personal information in connection with clouded.club, CLOUDED membership, our email and text updates, and our events.
Tickets for CLOUDED events are sold through DICE, not by us directly. DICE handles your information under its own privacy policy. See section 7.
3. What we collect
What you give us when you join CLOUDED:
- Your email address. This is the only thing we need to make you a member.
- Your name, if you choose to give it.
- Your phone number, if you choose to give it.
- Where you would like CLOUDED to go next, if you choose to tell us.
What we collect when you contact us: whatever you include in your message, and your email address or phone number so we can reply.
What we collect automatically: when you visit clouded.club, our website platform records technical information such as your IP address, device and browser type, and which pages you looked at. See section 12 on cookies.
What we learn from our emails: whether an email we sent you was opened and whether you clicked a link in it. We use this to see which updates are useful and to stop emailing people who are no longer interested.
What we receive from DICE: if you buy a ticket to a CLOUDED event, we receive a list of ticket buyers from DICE. See section 7.
Photographs and video from our events: see section 6.
4. Why we use your information, and our lawful basis
- Running CLOUDED membership, including keeping your record, recognising you as a member and giving you the things membership includes. Lawful basis: our legitimate interests in running the membership you asked to join.
- Sending you email updates about new dates, ticket releases, line-ups and member offers. Lawful basis: your consent, which you give when you join.
- Sending you text updates, if you gave us a phone number. Lawful basis: your consent, which you give by providing your number after being told what it will be used for.
- Deciding where to take CLOUDED next, using the city preferences members give us. Lawful basis: our legitimate interests in planning events people want to come to.
- Understanding our audience, including how many people come back to more than one event and roughly where our audience is based. Lawful basis: our legitimate interests in running and improving CLOUDED. Where we share audience information with venues, partners or sponsors, we share totals and percentages only, never your personal details. See section 8.
- Replying to you when you get in touch. Lawful basis: our legitimate interests in answering people who contact us.
- Keeping our website and events secure and preventing fraud or abuse. Lawful basis: our legitimate interests.
- Meeting our legal obligations, for example responding to a lawful request or keeping records we are required to keep. Lawful basis: legal obligation.
Where we rely on legitimate interests, we have considered whether our interests are outweighed by your rights and freedoms. You can object at any time: see section 11.
5. Email and text updates
Joining CLOUDED means opting in to email updates from us. Giving us your phone number means opting in to text updates. These are separate: you can have one without the other, and you can stop either at any time.
- Email: use the unsubscribe link at the bottom of any email we send you, or email hello@clouded.club.
- Text: reply STOP to any message, or email hello@clouded.club. Standard message rates apply and message frequency varies.
We will act on an opt-out as soon as we can, and in any case within a few days. We do not sell your details, and we do not send you marketing on behalf of anyone else.
6. Photographs and video at our events
We photograph and film CLOUDED events. We use that footage to share with members, to post on our social media, and to promote future events. The lawful basis is our legitimate interests in documenting and promoting the night. Where the venue or the event requires it, signage at the event will tell you that filming is taking place.
If you appear in a photo or video and would rather you did not, email hello@clouded.club with enough detail for us to find it and we will take it down from anywhere we control.
7. Tickets and DICE
CLOUDED tickets are sold through DICE. When you buy a ticket, you give your information to DICE, and DICE decides how it handles that information as its own data controller. Please read DICE's privacy policy for what they do with it.
As the event organiser, we receive a list of ticket buyers from DICE after each event. That list typically includes name, email address, the ticket type bought, the date of purchase and, where DICE provides it, the general area the buyer is based in. We use it to run the event, to recognise guests who come back, and to understand our audience. Lawful basis: our legitimate interests in running our events and knowing who comes to them.
Buying a ticket does not on its own make you a CLOUDED member or sign you up to our emails. We only send marketing to people who have opted in.
8. Who we share your information with
- Shopify, which hosts clouded.club, stores our member and customer records, and sends our emails and texts. Shopify acts as our processor for this, and also processes some information as its own controller. See Shopify's consumer privacy policy.
- DICE, as described in section 7.
- Venues and event partners, where we need to share a guestlist or similar to get you into an event.
- Social media platforms, when we post content that includes you. Those platforms handle that content under their own terms.
- Professional advisers, such as accountants or lawyers, where they need it to advise us.
- Anyone we are legally required to share with, including law enforcement where we are obliged to respond.
We share audience figures with venues, partners and sponsors as totals and percentages, for example how many people attended or what proportion came back. That information does not identify you. We do not sell your personal information.
9. Where your information is held
Our suppliers, including Shopify, may store and process personal information outside the United Kingdom. Where that happens, we rely on the UK government's adequacy regulations or on an approved transfer mechanism such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
10. How long we keep it
- Membership details: for as long as you are a member, and for up to 24 months after you unsubscribe or stop opening our emails, after which we delete them.
- Ticket buyer records from DICE: for up to 3 years after the event, so we can measure how many guests return across a run of events.
- Opt-out records: if you unsubscribe, we keep the minimum needed, normally just your email address or phone number on a suppression list, so that we do not contact you again by mistake. We keep this for as long as we are sending marketing.
- Messages you send us: for up to 24 months after the conversation ends.
- Photographs and video: kept as part of our archive, subject to any removal request under section 6.
11. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete your information;
- ask us to restrict how we use it;
- object to our use of it where we rely on legitimate interests;
- object to direct marketing at any time, which is an absolute right and which we will always act on;
- ask us to send your information to you or to someone else in a portable format; and
- withdraw your consent at any time, where we rely on consent. Withdrawing it does not affect anything we did before you withdrew it.
To use any of these rights, email hello@clouded.club. It is free, and we will respond within one month. We may need to check who you are before we act.
12. Cookies
clouded.club uses cookies and similar technologies. Some are strictly necessary for the site to work, for example remembering your session and keeping the site secure. Others help us understand how the site is used. You can control cookies through your browser settings, and through any cookie banner shown on the site. Turning off strictly necessary cookies may stop parts of the site working.
13. Age
CLOUDED events are for over-18s, and CLOUDED membership is intended for people aged 18 or over. We do not knowingly collect personal information from children. If you believe a child has given us their details, email hello@clouded.club and we will delete them.
14. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. If we make a change that significantly affects how we use your information, we will tell members by email.
15. Complaints
If you are unhappy with how we have handled your information, please tell us first at hello@clouded.club so we can try to put it right.
You also have the right to complain to the Information Commissioner's Office, the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
